At Alpha Technical Training (RTO: 45289), we respect and protect the privacy of our students, prospective students, staff, and partners. As a Registered Training Organisation (RTO) operating in New South Wales, we comply with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and the National Vocational Education and Training Regulator Act 2011 (NVETR Act).

We acknowledge that individuals provide personal information to us in confidence. Accordingly, we collect, store, use, and disclose personal information only where lawful and only to the extent necessary for the purposes of training delivery, assessment, and compliance with regulatory obligations.

Why We Collect Personal Information

We collect personal information to:

  • Process enrolments into nationally recognised training and non-accredited short courses.

  • Verify your identity through your Unique Student Identifier (USI).

  • Deliver and assess training services.

  • Issue qualifications and statements of attainment.

  • Meet reporting obligations to State and Commonwealth government bodies.

  • Support you with career planning, RPL applications, and credit transfers.

  • Process payments, manage accounts, and provide student support.

  • Ensure safety and welfare where medical or emergency information is relevant.

Failure to provide required personal information may result in us being unable to enrol you or deliver training and assessment services.

Personal Information We Collect

We may collect the following types of personal information in the course of providing education and training services:

  • Identity Information: full name, date of birth, gender, driver’s licence, birth certificate, medicare card, passport, nationality, citizenship, unique student identifier (USI), utility bills, white card, visa, resume.

  • Contact Information: address, phone number, email address.

  • Education and Employment Information: we collect information about your prior qualifications, training history, employer details (where training is employer-sponsored), and language, literacy, and numeracy (LLN) assessment results.

  • Financial Information: payment details, invoices, concession entitlements, funding eligibility.

  • Sensitive Information (only where relevant and with your consent): health or disability information to provide learning support, racial/ethnic background, and, where required by legislation, criminal history checks.

How We Collect Personal Information

Where practical, we collect information directly from you via:

  • Enrolment forms (online or paper-based).

  • Telephone, email, and in-person communications.

  • Career consultations and credit transfer requests.

  • Our website, social media, learning management system (LMS), and student portals.

In some cases, we collect information indirectly from:

  • Your employer (if your workplace arranges your training).

  • Schools, where students are completing school-based apprenticeships or traineeships.

  • Government agencies providing verified training and education records.

Use and Disclosure of Personal Information

We use your information only for legitimate training and compliance purposes. Specifically, we may disclose your information to:

  • National Centre for Vocational Education Research (NCVER) – for national VET data collection, research, authenticated VET transcripts, and statistical purposes.

  • Department of Employment and Workplace Relations (DEWR) – for policy, workforce planning, and program administration.

  • NSW State Training Authority – to administer funding, subsidies, and state-based VET programs.

  • Australian Skills Quality Authority (ASQA) – for regulatory audits and compliance monitoring.

  • Employers or Sponsors – where your training is employer-funded.

  • Schools – if you are undertaking a school-based apprenticeship or traineeship.

  • Other RTOs or educational institutions – where credit transfers or joint delivery arrangements apply.

  • Government agencies such as the Australian Taxation Office or law enforcement – only where disclosure is required or authorised by law.

We may also disclose information to trusted third-party service providers, such as LMS platforms, IT service providers, and mailing services, who assist us in delivering our services. We require these providers to maintain appropriate confidentiality and data protection standards.

Surveys and Research

As part of our obligations, you may receive surveys from NCVER, government departments, or their contractors. These surveys gather feedback to evaluate and improve the Australian VET system. Participation is voluntary, and you may opt out when contacted.

Direct Marketing

From time to time, we may use your personal information to inform you about:

  • New or updated courses and training pathways.

  • Industry news, workshops, or events.

  • Special offers or funding opportunities.

If you do not wish to receive marketing communications, you may opt out at any time by contacting us. There is no cost to opt out, and your decision will not affect your enrolment or training.

We take reasonable steps to ensure that all personal information is:

  • Stored securely (digitally encrypted and/or physically locked).

  • Protected against misuse, loss, unauthorised access, modification, or disclosure.

  • Destroyed or permanently de-identified when it is no longer required.

Our staff receive training on confidentiality and data protection obligations, and we regularly review our security practices.

Access to and Correction of Your Information

You have the right to request access to the personal information we hold about you and to request corrections where that information is inaccurate or incomplete. Please submit all requests in writing to our Privacy Officer. In most cases, we provide access free of charge; however, we may charge a reasonable fee for large or complex requests.

In certain circumstances, such as legal proceedings or law enforcement investigations, we may refuse access. If we refuse a request, we will provide written reasons for our decision.

Complaints and Further Information

If you believe we have mishandled your personal information, you may lodge a complaint with us directly. We will respond promptly and fairly.

If your concerns remain unresolved, you may escalate the matter to:

  • Office of the Australian Information Commissioner (OAIC) – for privacy complaints under the Privacy Act.

  • Australian Skills Quality Authority (ASQA) – if the matter relates to our obligations as an RTO.
